1. Administrative duties

2. Training information

We asked you to fill out a form with your personal data during the oral interview. We needed this data to prepare a cooperation agreement that binds the people involved in your training - especially CTM (Centre for Translational Medicine), your supervisor, employer, etc.. If you haven't done this yet, please do so as soon as possible! This is necessary for everyone to express their intention to cooperate to achieve the highest possible quality of your training.

CTM employees will prepare a contract draft, which will be sent to you by e-mail. Then, please check your data and notify us immediately if a typo has been made! CTM employees will send you the finalised contract if you do not request an amendment within three working days. After that, please print the number of copies at the end of the contract (2 or 3) and obtain the signatures of the persons at the end of the contract, except for the signatures of Director Péter Hegyi, Director Beatrix Sereg and, if necessary, the Dean. CTM colleagues will handle the signing with them. Please negotiate the contract terms with your supervisor, especially regarding the distribution of the research support!

In addition, please fill out the declaration of consent available on the website (see below) and hand it in at the CTM as soon as you’ve signed the contract! In addition to the consent statement, the related data handling information is also available.

September 1 or 5-6, please submit this in person at the TMK office (1085 Budapest, Üllői út 26. 3.em., office T7) between 8 a.m. and 5 p.m. to Dóra Turcsiné Czapári (czapari.dora@semmelweis-univ.hu).

In the first year of the PhD, very intensive training takes place in the Translational Medicine program.

You can find the preliminary timetable below. Please write down the dates of the courses, leisure activities and Progress Reports. Remember, a successful first year requires at least 4 days of protected time per week for training!

a. Groups - weekly group meetings take place. The time of the group meeting remains constant throughout the year and is expected to last 2-2.5 hours. Discussions take place in person. This year, the admitted students were divided into 7 groups according to their field of specialisation. The group schedule, times and locations will soon be sent to everyone in a separate letter. Changes may only be made in justified cases. Participants of the group discussion: all PhD students in the group, supervisor, group leader, CTM staff, TDK students. Attendance at the group meetings is mandatory for everyone! In case of absence, please inform your SMS in advance.

b. Project meetings - weekly project meetings take place. The PhD student, supervisor, TDK student, and SMS/statistician participate in this. The meetings are mainly held online (Zoom), if necessary in person. In the first week of September, it is required to find a date that the team can keep throughout the year. Anyone from the CTM management can join the meetings at any time via the Zoom link.

c. Courses - the 7 groups are divided into 3 classes (A, B and C). The courses are held according to the attached timetable, with 3 separate days for the 3 classes. The course codes and course credits can be found in the timetable. Attendance is mandatory for PhD students. Otherwise we cannot credit the course. TDK students and supervisors are also recommended to join. Substitution is only possible with another class in the given week in justified cases. The courses will usually be in-person and last 6 hours with breaks.

d. E-learning - our online course database is constantly expanding (see below), an e-learning precedes most courses. These are carried out based on individual timetables, but they must be completed before the given personal course. Completion means completing the opening and closing test. A minimum of 75% of the points must be achieved on the final test.

e. Seminars - during the first year, we will organise 8 seminars for you. We invite outstanding researchers to the seminars, who can provide a career path model. The seminars are open events, anyone can participate, but the participation of PhD students is mandatory. Otherwise, we will not be able to provide the credit for the seminars.

f. Progress reports - PRs are organised every 3 months by class. Attendance is mandatory for everyone on their day and at least one more day. Replacement on another day is not possible. During the PR, an 8/10-minute presentation will be followed by a 4-minute discussion, during which the audience is free to ask questions about the projects. The purpose of PR is to develop presentation techniques, practice conference presentations, and build relationships with members of other groups.

g. Clubs - building relationships is an essential element of research, so we regularly organise leisure programs for you, where you can get to know the members of other groups. If you have an idea, we provide the opportunity to organise sports, art and other leisure programs.

3. E-learning interface and communication

During the training, we will use the Moodle system for the following: personal data storage, e-learning, project follow-up, attendance management, communication, forums, and calendar management.

Our colleagues will send you an email with login information soon. TM Moodle is available on the following interface - https://elearning.tm-centre.org/edu/

  1. Profiles - we upload your profile based on the collected data, but you must fill in the fields when you log in for the first time. Updating your profile is your responsibility. Please enter an email address you read daily; otherwise, you may miss important information. We create a separate profile on Moodle for TDK students and supervisors.

  2. E-learning - individual online training materials become available every week. These are completed based on individual timetables but must be completed before the given personal course. Completion means completing the opening and closing test. A minimum of 75% must be achieved on the final test. The courses can also be reviewed afterwards.

  3. Project follow-up – each project has predefined work phases so that we can follow your projects based on this. Everything related to your project is uploaded to Moodle, so it's easier to track your progress, and we can recognise any blockages and possible errors sooner. Detailed information will be provided at the beginning of the year.

  4. Attendances - we manage the attendances of project discussions, group discussions, and seminars online.

  5. Communication - the Moodle interface is suitable for communication and sending e-mails.

  6. Forums - forums provide an additional opportunity to discuss projects, ask for help, and organise programs.

  7. Calendar - we will follow the events of the year with the help of a built-in Google Calendar. The Calendar shows when you are on vacation, when you are unavailable, etc.
